What “documentation-ready closeout” means, and why asset teams ask for it

On a utility-scale site, the maintenance work is only half the deliverable. The other half is the record that lets an asset manager approve the invoice, answer the owner’s auditor, and prove to the interconnecting utility that the site is being kept inspection-ready. Here is what we mean when we say every scope is documentation-ready.

Before mobilization: written authorization

Every scope is written up, priced and authorized before a crew moves. For herbicide work that includes product, target areas, buffer zones and any sensitive-area conditions. For civil work it includes the specific repairs and materials. Nobody arrives on site to “see what needs doing.”

Before site entry: COI

Certificate of insurance delivered before the first truck rolls: $1M/$2M general liability, $2M products and completed operations, $1M auto, statutory workers’ comp with $1M employers liability, and equipment floater coverage. W-9 and capability statement available for onboarding.

During the work: photo evidence

Before and after photos for every wash cycle and vegetation pass; application maps, product lists and applicator IDs for herbicide; drone flyovers and mapped progress on larger sites. The evidence is tied to locations on the site, not just a folder of pictures.

After the work: the closeout report

A site-level report formatted for your review workflow: what was authorized, what was done, where, by whom, with the photo evidence attached. It is built so the person approving the invoice can do it without calling anyone.

Why it matters
